National Legal Firm wins with Sharp MFPs automating record keeping and improving document quality

Judgement in favor of the Sharp MFP solution, Drivve Scanner Power Tools and Bates Stamping

A law firm that provides a full range of legal services to clients across the U.S. The firm handles cases ranging from Personal Injury, Product Liability, Personal Litigation, Professional Malpractice, and Wrongful Death.

The firm is legally required to maintain records of all information pertaining to each specific case and client. Each document must have a unique identifier (client ID) that can be quickly and easily referenced. Previously, the process to ID each document was to use a manual date stamp that would be updated daily and physically stamped on all documents. The client case name and number were referenced in a log and verified manually before stamping. This method was very labor intensive and prone to human error.

The client came in to the dealer showroom seeking an alpha-numeric stamping solution. The rep demonstrated the Drivve Scanner Power Tools and the Bates Stamping functionality. These applications enable the client case information to be stamped on the document while it is scanned and copied at the Sharp MFP. When a related document needs to be stamped with the number sequence for a specific case ID, the application accesses the database to determine where the number sequence should resume. The client was very impressed with this ability to “clean up” documents at the time of scan. The de-speckle, de-skew, and blank page deletion features were also a high priority in order to ensure good, readable quality when the documents are submitted as evidence in court.

The key benefits to the firm include:

  • Documents automatically stamped at point of scan
  • Increases efficiency while decreasing errors
  • Increases image quality of archived documents
  • Define file-naming convention at the time of scan

"The main prerequisite for the law firm purchasing a new MFP, was that it would accomplish Bates Stamping and Document Clean Up in the way that was acceptable for their legal practice." Troy Olson, VP sales, Les Olson Company.
